Chasing an unpaid invoice without falling out

A client who doesn't pay is stressful and a little awkward to handle. Yet chasing is part of the job, and it's done calmly, in steps, without damaging the relationship in most cases.

First, check that everything was clear

Before getting annoyed, make sure the invoice wasn't confusing. Was the payment deadline stated? Were the payment details, the IBAN or the QR, correct? An invoice lost in spam or with a wrong detail explains many delays. If everything was fine, you can chase with confidence.

The first reminder, without aggression

A few days after the due date, send a short, neutral reminder. Assume the client simply forgot, that's the most common case. Something like: "Hello, I'd like to remind you of the invoice dated [date], due on [date]. Can you confirm the payment? Thank you in advance." No need to do more at this stage.

When it drags on

If nothing comes, move to a second reminder, firmer, with a new clear deadline. You can point out that default interest applies in principle once the client is in default. In Switzerland, the Code of Obligations provides for default interest of 5% per year in the absence of another agreement. Simply mentioning it is often enough to unblock the situation.

The last resort

If the client still doesn't react, the debt collection procedure exists to recover what you're owed. It's a step you take knowingly, and it's worth informing yourself about the stages before you start. But in the vast majority of cases, it doesn't come to that. A clear framework and regular reminders settle the essentials.

The best cure is beforehand

Most unpaid bills are prevented at the order stage. A deposit for new clients or big projects, written payment terms, and an invoice sent quickly after delivery hugely reduce the risk. Keeping track of who has paid and who still owes also stops you from letting an invoice slip through without noticing.
